Schedule a meeting in Microsoft Teams Free

In Microsoft Teams Free, you can easily connect with your friends, family, and colleagues. Whether you're planning a virtual gathering, hosting a study group, or catching up with family, Teams provides a seamless way to create a scheduled meeting.

Create a scheduled meeting
Note:Â In Communities in Teams, you can set up and schedule a community event. Learn about community calendars and events in Microsoft Teams Free.

In Teams, tap Calendar at the bottom of the screen. Then tap Expand meetings menu
> New meeting . -
You can give your meeting a name under Add Title
. -
You can Add participants to your meeting by entering their name or email. You can also find participants by phone number if they are Teams users.

You can set the meeting for All day, or you can fill out the start and end fields to schedule your meeting. You can also set the meeting to repeat, set a Location, or add a Description.

Tap Submit to schedule your meeting. It'll appear on your Calendar.

After you create your meeting, you can do the following:

Share invite: Tap Share meeting invite
to share your meeting link. -
Copy link: Tap Copy meeting link   to copy the meeting invite link to clipboard.

Meeting options: Many options default ON to ensure meetings begin with full functionality. Organizers have the option to turn the features off. Learn more about meeting options.

Tap Join to start the meeting, set up your audio and video options, and select Join now to enter the meeting as the host.
Share or update meeting detailsÂ
Once you create your meeting, share or update your meeting details by tapping Meet. Under Scheduled, tap the meeting you want where you can do the following:Â

Share meeting invite: Tap the scheduled meeting and choose Share meeting invite and choose where you want to share it. Â

Copy meeting link: Tap Copy meeting link to copy the meeting invite link to clipboard.Â

Meeting options: To configure the privacy options, tap Meeting options at the bottom of the screen. You can set Who can bypass the lobby and Who can present options from the dropdown menu. After you make your selection, tap Save.

For Microsoft 365 Personal or Family subscribers, you can restrict attendee’s access to turn on their camera, unmute, or use reactions in the meeting. You can also manage meeting chat access by turning it on or off. Learn more about meeting options and roles. Â

Cancel event:Â Tap to cancel your event.Â

Join: Tap Join to start the meeting, set your audio and video options, and select Join now to enter the meeting as the host.Â

Edit: Tap Edit to update the details for your meeting Â
Create a scheduled meeting​​​​
Note:Â The Meet tab is only available on web and desktop. Â

In Microsoft Teams Free, select Meet
​​​​​​​ from the leftmost side of the screen. -
Select Schedule a Meeting
.Note: To schedule a meeting in the Calendar tab, choose New Meeting
​​​​​​​.  You can continue to follow the steps below.  You can also make a meeting link. -
Give your meeting a title in the Add title field
. -
Enter a name, email, or phone number to add participants to your meeting.Â

Customize your meeting:Â

Fill out the start and end fields to schedule your meeting or set the meeting for All day. You can also set the meeting to repeat, add a location, or add details.Â

To configure the meeting's privacy options, select Advanced options. You can change meeting options after you have filled out the required meeting details, such as the date and time. Under Advanced options, you can adjust Who can bypass the lobby and Who can present options from the dropdown menu.Â
Note: Some in-meeting options require a Microsoft 365 Personal or Family subscription. Learn more about what you can do in a meeting.  Â

Select Save to schedule your meeting.Â
Share your meeting details
Participants will receive an invite with the name of the meeting, the organizer, start and end time, whether it's a reoccurring meeting (not available for SMS), location, and a link to join the meeting.Â

Participants can start a conversation in the meeting chat before the meeting begins.

When a Microsoft Teams Free user adds an event to their personal calendar, information pertaining to the recipient's email is available to other attendees of the meeting.Â

Participants that accept the original invite can join the meeting without waiting in the lobby. All other participants who try to join with a meeting link will wait in the lobby. You can change the default Who can bypass the lobby option.Â

Users can sign in to Outlook.com to export their calendar invitations. Learn how to import and export Outlook email, contacts, and calendar. ​​​​​​​
Notes:Â

If you created a meeting in Outlook, you currently can't add or modify meeting attendees in Microsoft Teams Free. When you use your Microsoft account to log in to Microsoft Teams Free, you can view and modify the meeting details from that account’s Outlook calendar (except for the attendees).

To modify the attendees for an Outlook meeting, use your Microsoft account to sign in to Outlook.com, then use the calendar to edit the meeting and add or modify attendees.
Update meeting details
Once you create your meeting, share or update your meeting details in the Calendar tab. You can also find your meeting under the Meet tab >Scheduled meetings. When you find your meeting, you can select Join and Share Link.  For more options, choose a meeting where you can do the following:Â

Copy invite: Tap Copy invite to add the meeting invite link to clipboard to share.

Meeting details: Update the details of your meeting, including the date, time, and description. Once you’re ready, select Save.

To modify the attendees for an Outlook meeting, use your Microsoft account to sign in to Outlook.com, then use the calendar to edit the meeting and add or modify attendees.
Update meeting details
Once you create your meeting, share or update your meeting details in the Calendar tab. You can also find your meeting under the Meet tab >Scheduled meetings. When you find your meeting, you can select Join and Share Link.  For more options, choose a meeting where you can do the following:Â
